We think of sending an email as a simple process. You put in the recipient’s email address, type a message, and hit send. After a few seconds, it shows up in their inbox—easy peasy, right? In reality, there is much more going on behind the scenes.

Let’s take a look behind the scenes by using the USPS as an example. I can write a letter and address it to my friend Amir. I can drop that letter off in my mailbox at home, work, or anywhere with a mail collection box.

This is similar to your email client (like Gmail or Outlook), where you compose and submit your message. Just as the post office picks up your letter from a mailbox, your email provider's Simple Mail Transfer Protocol (SMTP) server receives the message for processing.

Routing the Letter

From here, the USPS sorts and transfers your message to the general area or neighborhood where the recipient lives. Similarly, after you hit send, your email is passed through several Mail Transfer Agents (MTAs)—intermediate email servers—who route your email closer to the destination.

Delivery to the Right Mailbox

Once the letter reaches the right neighborhood post office, the carrier checks the house number and drops it off in the correct mailbox. In email terms, the destination MTA delivers the message to the recipient’s inbox on their email server, such as Amir’s Gmail account.

However, a few things can go wrong with this process. Let’s explore three scenarios:

  1. Successful Delivery:
    Your letter is delivered to Amir’s mailbox without any issues. In email terms, the message lands safely in Amir’s inbox without getting delayed or lost.
  2. Tampering or Interception:
    A malicious actor intercepts your letter, opens it, changes the contents, and then forwards it to Amir. Similarly, in the email world, this is akin to a man-in-the-middle attack, where a bad actor intercepts and modifies your email during transmission.
  3. Spoofing:
    A bad actor pretends to be you and sends a letter to Amir, but with a different return address. In digital communications, this is known as email spoofing—where someone sends a fraudulent message that appears to come from your email address.

In all three cases, you are unaware what happens with your letter unless Amir reaches out directly to you. That is unless you send it certified.
